​Exhibition Entry Requirements & Guidelines

All quilts must be pre-registered prior to Quilt Show.

A maximum of three quilts per exhibitor may be entered in the exhibition. Due to space considerations, registration forms will be accepted until 4:00 pm, Thursday, April 8, 2021, or until our limit is reached. All quilts must be pre-registered for the Quilt Show (You are encouraged to complete and submit your registration form online) and adhere to the following exhibit guidelines:

All entries must...

  • Consist of three layers; two layers of cloth filled with “batting” material and held together by a stitched design, with stitching being distributed throughout the work.
  • Never have been shown in the main exhibit at previous Quilt Shows at Sauder Village. 

  • Include significant piecing and/or appliqué which affects the overall design if preprinted panels are included in the quilt top.

  • Be quilted, either by hand or machine or both, in a process separate from the construction process.  Quilting is defined as a running stitch through the top, batting & backing.

  • May be embellished with material other than cloth. 

  • Fit the size requirements and definitions of the selected category. Please look carefully at the category definitions and sizes before registering. 

  • Rag quilts, tied quilts, quilts with false backs, and quilts with comforter loft batting are not eligible for entry into this show.

  • Remain in the exhibit for the entire show until pickup of quilts on assigned date/time.

  • In order to qualify for the judging competition, the quilt exhibitor must have had some part in the making of the quilt (either constructing the quilt top, quilting or both). Purchased quilts, inherited quilts and quilts received as gifts may be entered for EXHIBIT ONLY and will not be judged. Also, any quilt maker who, for any reason, would prefer to enter his/her quilt "for exhibit only" is welcome to do so. "For exhibit only" and judged quilts will be hung together by category and the same entry guidelines will apply equally to both. On your registration form, please be sure to indicate whether each quilt is to be entered into the judging competition or "for exhibit only."

  • Please submit a separate form for each quilt (up to three.)  Please make sure each quilt is labelled with your name and phone number on the back of the quilt. Quilt hanging sleeves are not required. 

  • Quilt artists who have traveled nationally to teach and have published books or patterns must register in the “Masters Showcase” category. The exhibit director will personally contact all Masters Showcase artists who have registered to discuss arrangements for this special display. 

  • The Masters Showcase and Youth category and all special exhibits are for exhibit only and will not be judged.

    Note: Written judging evaluations are not provided for this show.

Due to the way the quilts are hung, it is not necessary to sew a sleeve onto your quilt.

Incomplete, torn, soiled, framed or mounted quilts will not qualify or be accepted for the exhibit.  All entries must be clean and unscented when received or they will not be accepted. Cigarette odor and pet hair and/or odor may result in immediate disqualification. 


All Quilts For The Exhibit MUST Be PRE-REGISTERED

 
Pre-Register Your Quilts for the Exhibit by...
  • Completing one registration form per quilt. 
  • Once completed, registration forms can be submitted online, via email, fax or sent by mail. Online registration is preferred.
  • Entered by the deadline 4:00 p.m., Thursday, April 8, 2021, or until our limit is reached due to space considerations.

Check-In / Pick-Up / Shipping Your Quilts for the Exhibit

To ensure the comfort and safety of our guests and staff during the COVID pandemic, we have instituted new procedures for Quilt Show 2021 Check-in and Pick-up.

Checking-In Quilts for the Exhibit:

  • Pre-registered quilts must be hand delivered to Founder's Hall for check-in on your assigned date/time. NEW: Each person submitting a quilt will be contacted  in early April via email with an assigned date/time to drop-off registered quilts. Please enter through the west doors of Founder's Hall adjacent to the parking lot.

  • If you or your agent cannot deliver your quilt entry on your assigned date/time you may contact Deb Ridgway, Special Events Coordinator at (419) 446-2541, ext 3076, to make an appointment for early delivery in the week prior to the show.

  • NEW: Pre-printed exhibit tags will be provided for each registered quilt at check-in. Information from your Quilt Registration form will be used.

  • Claim tickets will be issued for each piece (which will serve as owner identification), and must be presented at check-out in order to pick up the quilt(s). Do not lose your Claim Tickets!

  • Each person exhibiting quilts ("for exhibit only" or for judging) in Founder's Hall and/or in the Sauder Village Challenge will receive one free admission pass. Each pass will admit one person, one day, to the 2021 Quilt Show and Historic Sauder Village. 

  • Guilds are encouraged to designate a representative to bring your group's quilt(s) to check-in. For more efficient check-in please call Deb Ridgway, Special Events Coordinator at (419) 446-2541, ext 3076, to schedule an appointment if you are bringing ten or more quilts for your group.

  • All quilts will be subjected to the jurying process and those accepted into the show will be hung on Monday/Tuesday Owners of all quilts not accepted into the show will be notified on Wednesday and arrangements can be made to pick up those quilts prior to the end of the show.

  • In order to provide the best possible show, Sauder Village reserves the right to limit the number of quilts in each category, change category if deemed appropriate and reject any entry not following the guidelines or those we do not feel fit the nature of our show.

Picking-Up Quilts for the Exhibit: Saturday, May 8, 2021

  • Exhibit quilts will be ready for pick-up on Saturday, May 8, 2021 in Founder's Hall.at approximately 6:30 p.m.  A limited number of quilters will be admitted in at a time to pick up their quilt.  Social distancing guidelines will apply.
  • The claim ticket(s) issued at check-in must be presented at check-out in order to pick up your quilt(s).

  • If someone else is picking up your quilt(s), please be sure that they have your claim ticket(s) so that they can check-out your quilt(s) on your behalf.

  • Advance Shipping Quilts for the Exhibit... 

Check list for Shipping Quilts: Please follow these instructions carefully for shipping your quilt(s) in advance of the show.

  1. Pre-register your quilt(s) for the show by completing the online Quilt Registration form.
  2. Specify on Quilt Registration form that you plan to advance ship your quilt(s) for the show.
  3. Complete the Advance Shipping form and include a copy of the form with your shipment.
  4. Prepare you quilt(s) for shipment. Use a strong sturdy shipping box (preferably a new container). Return shipped quilts will be sent in their original container using original packing material. Each quilt must be placed inside a cloth bag. Label each bag with your name, address and phone number.
  5. DO NOT USE packing peanuts or shredded paper as additional packing material. Packing materials must be easily reused for return shipment.
  6. Packages must be shipped pre-paid, including appropriate insurance coverage and delivery or signature confirmation (recommended).

  • While we encourage personal delivery and pick-up of your exhibit entries, you may advance ship your pre-registered pieces if necessary. All quilts being shipped must be received by close of business, Thursday, April 22, 2021.
  • All shipped quilts will be opened and prepared by experienced quilt handlers for check-in.

In appreciation for entering a quilted piece for the exhibit, you will be provided with one free admission pass into both the Quilt Show Exhibition and the Historic Village. Please enter through Founder's Hall with this pass.


COVID-19 Information

In adherence with state and local safety precautions, facemasks are required while at Sauder Village. We will also moderate the number of people in the show to allow for physical distancing.
